The spreadsheet is made up of three main tabs:

  1. Summary Sheet – This gives you a clean, high-level snapshot of projected revenue, costs, and total profit/loss. Use this to stay focused on the big picture and share topline numbers with your team or partners.
  2. Event P&L Template – This is your working doc. Log revenue streams (tickets, sponsorships, bar splits, merch) and all expenses (from venue and talent to wristbands and ice runs).   • Ticket Sales: This is your main revenue driver. Estimate how many tickets you’ll sell at each price point, from GA to VIP. You may not need six different ticket types, but having a tiering strategy helps you build hype, create FOMO, and collect data on your pricing. Here’s how we break it down:

  • Event Ops Costs: This stands for "event operations," which refers to everything that keeps your event running on the ground. Think venue fees, staff, DJs, hosts, photographers, videographers, and anyone else who plays a critical role in producing the actual experience. If you're hiring people or paying for space, it likely goes here.
    • Pro Tip: You can often get rid of venue fees by negotiating a bar minimum instead.
    • Get to know your venue well—understanding what they do and don’t provide can help you avoid unnecessary costs and plan smarter.
  • Marketing Costs: This includes your promotional budget—everything from hiring a graphic designer to designing flyers, running paid ads on social media, and covering email or SMS marketing costs.
    • Pro Tip: Be strategic with your marketing spend. Allocate budget behind what will move the needle—ads, design, and outreach—and make use of tools (like Posh) that help you do more with less.
    Production Costs: These are the elements that bring the vibe to life. Sound systems, lighting rigs, special effects, stage design, and decorations all fall under this category.
    • Again, get to know your venue and understand what they offer—you might not need to rent extra sound or lighting. And when it comes to decor, buy smart and build a stock of reusable pieces so you can save money over time.

Each of these sections can—and should—be customized to reflect how your event actually runs. Some organizers negotiate free venues in exchange for bar revenue, or partner with photographers in exchange for content. Use this section to reflect both your spend and your strategy.
